In Highstage, all documents are consistently managed under revision control. There’s no limit to the number of revisions or sub-revisions a document can have, and the revision format can be customized. Users can easily identify whether a document in Highstage is the latest version, as this is clearly marked.
Document workflows can automate your business processes, making them more consistent and efficient. With the Review-Approval workflow, you can direct documents and other items stored in Highstage to one or more individuals for their review or approval. This workflow automatically routes the document, assigns relevant stakeholders, tracks their progress, and sends reminders and notifications when necessary.
You can monitor and adjust the activity within a document flow from the document search page, with access to a full history of tracked events. This kind of workflow not only saves time and effort but also streamlines and standardizes the document approval process.
Highstage enables global searches across all documents you have access to, and it also searches through other modules like Action and Parts. Additionally, it can perform file content searches.
Alternatively, you can find your information by filtering, using specific search criteria based on the metadata you're interested in.
Highstage supports extensive use of templates and metadata. Each document type, such as meeting minutes, design reviews, or contracts, can have its own revision-controlled templates. Whenever a new document is created, Highstage generates it using the most recently approved template, ensuring that the correct template is consistently used across the company.
The document module offers advanced support for MS Office documents, allowing headers, footers, and other metadata fields to be updated automatically, preventing discrepancies due to manual errors or omissions.
Documents can only be edited while in the "Working" state. Whenever a document changes state (e.g., sent for review), a PDF version is automatically generated and stored. As a result, each revision or sub-revision is preserved with both the original file (e.g., .docx) and the unalterable PDF copy.
The Document module manages all types of documents and files across the company, including Office documents, folders, software, and both electronic and mechanical CAD files. Documents are stored in an open file-server folder structure, making them easily accessible to developers and development tools. Users can manage all files directly through File Explorer or the web interface, with the same security measures applied in both methods.
Logical references between documents can be made using references within Highstage, while physical references can be created directly between files. For instance, a software or firmware module might reference lower-level libraries (components), and mechanical assembly drawings might reference parts like screws and bolts. Each file can be accessed via its own unique URL.
References can initially be set to the latest version for faster development (unlocked reference). Later, when more stringent version control is needed, references can be locked to specific versions (locked reference).
